  25. RELATED LHTS DOCUMENTS

Effective from September 2026

Please read these terms before enrolling. They explain the practical and financial arrangements between Leanne Hughes Theatre School (LHTS) and the parent, carer or adult pupil responsible for the account.

In these terms, “parent” includes a parent, carer or adult pupil, and “pupil” means the person attending LHTS activities.

1. TRIALS AND OFFERS OF A PLACE

A new pupil may attend one free trial in each class recommended or approved by LHTS. A trial booking does not guarantee a permanent place.

After the trial, LHTS may confirm that the class is suitable, recommend another class or level, or explain that a place is not currently available.

Enrolment begins only when LHTS confirms the place and the parent accepts it through the stated registration process.

2. REGISTRATION AND ACCURATE INFORMATION

A complete registration record must be provided for every pupil.

Parents must provide accurate contact, emergency, medical, allergy, disability, access and collection information. This information must be kept up to date through Class Manager or by notifying LHTS promptly.

LHTS must be informed about anything that may affect a pupil’s safe participation.

Personal information will be handled in accordance with the LHTS Privacy Notice. Information may be shared without consent where necessary to protect a child or comply with a legal obligation.

3. FEES AND PAYMENT

Current prices are set out in the LHTS Fees and Payment Information document.

Regular class fees are calculated per lesson and invoiced termly in advance. A pupil joining part-way through a term will normally be charged only for the remaining scheduled lessons.

Invoices must be paid by the stated due date. Any early-payment discount applies only when the full qualifying amount is received by the published deadline.

If a payment plan is required, this must be agreed with LHTS before the payment deadline. Arranging a payment plan does not reduce the total amount payable.

LHTS may amend its fees by giving reasonable advance notice.

Where payment remains overdue, LHTS may suspend attendance, withhold entry to optional activities or end enrolment after reasonable reminders. This does not remove responsibility for fees already due.

4. ONLINE OR DISTANCE ENROLMENT CANCELLATION RIGHTS

Where a parent enters into a new contract online, by email or by telephone, any statutory right to cancel within 14 days will apply.

To cancel, the parent must send LHTS a clear written statement within the cancellation period.

If the parent asks for classes to begin during the 14-day cancellation period, LHTS may charge a proportionate amount for any lessons or services supplied before cancellation.

After the statutory cancellation period, the notice arrangements in section 6 apply.

This section does not limit any consumer rights that cannot lawfully be excluded.

5. ATTENDANCE, PUNCTUALITY AND MISSED CLASSES

Regular attendance and punctuality are important for progress, safety and group preparation.

Parents should report absences using the usual LHTS contact route and must collect pupils promptly at the end of class.

Fees are not normally refunded or credited where a pupil is absent, arrives late, leaves early, goes on holiday or chooses not to attend. This is because the pupil’s place and the necessary staffing have been reserved.

LHTS may consider exceptional circumstances individually but is not obliged to provide a replacement class.

6. STOPPING OR CHANGING CLASSES

Six weeks’ written notice is required to:

This applies unless LHTS agrees otherwise.

Notice must be emailed to lhtheatreschool@gmail.com and takes effect from the date it is received.

The pupil may continue attending and will be charged during the notice period.

If the pupil stops attending immediately, fees for the six-week notice period remain payable in lieu of notice.

This requirement does not affect statutory cancellation rights or any legal remedy available where LHTS has breached the contract.

7. CLASS CANCELLATIONS AND TIMETABLE CHANGES

LHTS may change a teacher, room, class time, venue or delivery arrangement where reasonably necessary.

LHTS will give as much notice as practicable and will try to keep disruption to a minimum.

If LHTS cancels a class, it will normally offer a replacement lesson, credit or refund for the cancelled class. This will not apply where a suitable replacement lesson is provided.

LHTS is not responsible for indirect losses such as travel costs, childcare costs or missed work.

Where circumstances outside LHTS’s reasonable control make normal delivery unsafe or impossible, LHTS may offer an alternative arrangement, reschedule the activity or provide an appropriate credit, taking account of the service that can reasonably be supplied.

8. PLACEMENT AND PROGRESSION

Teachers decide the most appropriate class, level, examination readiness and progression route for each pupil.

Decisions will take account of the pupil’s age, experience, technique, maturity and safety, as well as the needs of the group.

Moving to another class or grade is not automatic at the end of a term or academic year.

LHTS may recommend a class change where this is in the pupil’s interests or is necessary for the safe and effective running of a class. The parent will be consulted before a permanent change is made.

9. HEALTH, INJURY AND PARTICIPATION

Parents must tell LHTS promptly about any injury, illness, medical condition, medication, allergy, disability, pregnancy, access requirement or wellbeing concern that may affect participation.

Pupils must follow reasonable safety instructions and should not attend when infectious or medically unfit to participate.

Dance and physical theatre involve an ordinary risk of strains, falls and accidental injury. LHTS will take reasonable care but cannot remove every inherent risk.

A teacher may adapt or stop a pupil’s participation where they reasonably believe it would be unsafe for the pupil to continue.

In an emergency, LHTS will seek appropriate first aid or medical assistance and contact the parent or emergency contact as soon as reasonably possible.

10. UNIFORM AND PERSONAL PRESENTATION

Pupils must wear the uniform and footwear specified for their class once instructed.

Hair must be secured appropriately. Jewellery, including watches, must not be worn unless a teacher has approved an exception for a medical, religious or access reason.

Incorrect clothing or footwear may limit participation where it creates a safety concern.

Parents should speak to LHTS if their child requires reasonable support or an adjustment.

11. SUPERVISION, ARRIVAL AND COLLECTION

LHTS is responsible for a child only during their scheduled class or another specifically supervised activity.

Parents remain responsible for their child before the pupil is handed to LHTS staff and immediately after the class finishes.

Children must wait in the designated area and must not enter a studio, kitchen, staff area or equipment store unless invited and supervised by an authorised adult.

Children under the age of 10 may use the kitchen only with direct adult supervision.

Parents must provide current collection arrangements and notify LHTS if an unfamiliar person will be collecting their child.

LHTS may delay releasing a child while an unexpected or potentially unsafe collection arrangement is checked.

12. BEHAVIOUR AND RESPECT

Pupils, parents, staff and visitors must treat one another with courtesy and respect.

Bullying, harassment, discrimination, intimidation, abusive language, violence, deliberate disruption, unsafe behaviour and damage to property are not acceptable in person or online.

Parents are responsible for younger children and siblings in waiting and communal areas.

LHTS may set reasonable boundaries for waiting, viewing and access where necessary for safety, privacy or the effective running of classes.

13. VIEWING CLASSES AND COMMUNICATING WITH TEACHERS

Parents may attend invited watching sessions.

At other times, classes may be viewed only with the teacher’s permission. A waiting area is available, subject to capacity and studio arrangements.

Progress or welfare discussions must be arranged at a suitable time. These discussions must not delay or interrupt a class or take teaching time away from pupils.

Formal notices, invoices and individual family matters will normally be sent through Class Manager or the official LHTS email address.

14. PHONES, PHOTOGRAPHY, FILMING AND SOCIAL MEDIA

All pupils and families must follow the current LHTS Social Media, Photography and Filming Policy.

Phones and recording devices must never be used in toilets or changing rooms.

Photography, filming or livestreaming during classes, rehearsals and events is permitted only where LHTS or the event organiser has expressly allowed it.

LHTS will manage its own photography and promotional content in accordance with its published policy and the permissions recorded for each pupil.

A child’s own wishes and any safeguarding needs will always be considered.

Parents must not publish identifiable images or recordings of another person’s child without permission.

15. PROPERTY, REFRESHMENTS AND PARKING

Personal belongings should be named and valuables should be left at home.

LHTS will take reasonable care but is not responsible for loss or damage unless it was caused by a failure to use reasonable care.

Unclaimed property may be donated or disposed of after reasonable notice.

Anyone using the kitchen or refreshments must follow hygiene and safety instructions, pay as indicated, tidy up after use and keep hot appliances and sharp objects away from children.

LHTS does not have guaranteed customer parking.

Families must park lawfully and considerately, keep access to neighbouring businesses clear and leave suitable spaces available for people with mobility needs.

Vehicles and their contents are left at the owner’s risk.

16. EXAMINATIONS

Teachers will recommend an examination only when they consider the pupil ready.

An examination entry requires parental approval and payment of the examination, coaching and any associated fees by the stated deadline.

Extra coaching and the correct examination uniform may be required.

Examination entries and related fees are non-refundable once they have been committed to the examining body, except where the examining body provides a credit or refund under its own rules.

LHTS cannot guarantee examination results, marks, dates, examiners or venue arrangements.

17. SHOWS, FESTIVALS, DISPLAYS AND REHEARSALS

Participation in shows, festivals, displays and other performance work is optional unless a separate commitment has been accepted.

Each activity may involve additional rules, rehearsals, attendance requirements, fees, costume costs, licences and venue requirements. These will be communicated before commitment where practicable.

Once a place, entry, costume or service has been ordered, or work has begun, the relevant fee may be non-refundable to the extent that LHTS has incurred or committed reasonable costs.

Loaned or hired costumes and property must be returned promptly and in the condition in which they were received, allowing for normal wear.

A pupil who repeatedly misses required rehearsals, breaches event rules or is not safely prepared may have their role adapted or may be withdrawn from the activity after appropriate discussion.

Parents should report a withdrawal or unavoidable absence as early as possible.

18. PRIVATE LESSONS AND NEW FESTIVAL DANCES

Private, duet, trio and quartet lessons are charged at the current published rate.

A new-dance setup fee is charged once per dance. This covers choreography planning, music preparation and the first 30-minute private lesson.

For duets, trios and quartets, the setup fee is shared between the dancers.

The setup fee is non-refundable once planning has begun.

Further private lessons cancelled with less than 24 hours’ notice may be charged in full unless LHTS agrees otherwise.

Where dancers share a lesson, one dancer’s absence does not automatically reduce the total fee for the booked session.

19. EXTERNAL CLASSES AND PRODUCTIONS

LHTS encourages pupils to gain appropriate external experience.

Parents should discuss regular external vocational training and amateur or professional productions with the Principal before accepting where they may affect:

LHTS will not unreasonably restrict outside activities. However, pupils must honour commitments they have already accepted and must not present themselves as representing LHTS without permission.

20. SAFEGUARDING

The current LHTS Child Protection and Safeguarding Policy applies to all pupils, staff, volunteers and activities.

Safeguarding concerns should be reported promptly to:

Designated Safeguarding Lead: Leanne Hughes
Deputy Designated Safeguarding Lead: Jocelyn Hughes

LHTS may share relevant information with children’s social care, the police, the Local Authority Designated Officer or another appropriate organisation where necessary to protect a child.

Parental permission is not required where seeking permission would increase risk, delay protection or conflict with a legal safeguarding responsibility.

21. CONCERNS AND COMPLAINTS

Questions or concerns should be raised promptly and privately with the class teacher or Principal, depending on the nature of the issue.

Complaints must not be pursued through public social-media posts, group chats or confrontation during a class.

LHTS will listen, investigate proportionately and aim to respond within a reasonable time.

Safeguarding concerns will be handled under the LHTS Child Protection and Safeguarding Policy and may need to be referred outside LHTS rather than being resolved informally.

22. SUSPENSION OR ENDING ENROLMENT

LHTS may suspend or end a pupil’s enrolment where there is:

Except where immediate action is reasonably necessary to protect someone or maintain a safe environment, LHTS will explain the concern and provide a reasonable opportunity for the pupil or parent to respond.

Any financial adjustment will be fair and will take account of lessons already supplied, costs reasonably committed and the circumstances in which the enrolment ended.

23. CHANGES TO THESE TERMS

LHTS may update these terms or its related policies to reflect changes in law, guidance, insurance, operations or the services offered.

Material changes will be notified in advance where reasonably possible.

Changes will not remove rights that have already arisen or override statutory consumer rights.

24. AGREEMENT AND GOVERNING LAW

By accepting an offered place and completing registration, the parent confirms that they have read and agree to these terms and the policies expressly included in the registration process.

The parent responsible for the account confirms that they have the authority to enrol the pupil and accept financial responsibility.

If any part of these terms is found to be unenforceable, the remaining terms will continue to apply.

These terms are governed by the law of England and Wales.

Nothing in these terms limits any rights that cannot lawfully be excluded.
